Welcome to Rollins College!  We are excited about your arrival and want to make your transition to our campus and community as smooth as possible.  As an employee of the College, you will have the opportunity to play an integral role in helping the College community achieve success through its commitment to excellence and innovation.  

   
Depending on your role at the College, you will need to complete paperwork.  On the left navigation bar you will find links with the necessary paperwork for you to complete prior to your first day.  Your completed paperwork will assist  Human Resources in getting you setup in our system for payroll; gain access to appropriate IT accounts;  and, in some cases, obtain a R-Card  in a timely manner. 

 

The Human Resources Department is located in the Carneige Building on the 2nd floor.  Parking is available in the SunTrust Plaza parking garage located across the street from the main campus new employees. Enter the garage on Lyman Ave. Directions to the parking garage are provided here.  We will validate your parking coupon when you arrive at the Human Resources Department.  


All exempt staff and faculty employees will be paid on the last business day of each month pending the completion and submission of required paperwork.  Student, temporary, and non-exempt employees are paid biweekly.  The monthly and biweekly pay schedules can be found on the payroll website.

 
New Staff Information

  1. Please complete the new hire paperwork listed under “Staff New Hire Packet” and bring the completed paperwork with you on your first day of employment to the Human Resources Department or email scanned paperwork to Denisa Metko, HR Assistant, at dmetko@rollins.edu or fax to 407-646-2188. Each new staff member will be provided with an orange R-Card request form on their first day of employment.
  2. Please bring the following items with you on your first day of employment:
    • Proper identification(s) as listed on the I-9 Form
    • Voided check for direct deposit
    • Your vehicle registration in order to obtain your parking decal
  3. All new staff need to complete an electronic authorization for a criminal background check (MVR if applicable).  You will receive a separate email from True Screen, our background provider.  Do not delete this email.  Please follow the directions to log into True Screen and complete the electronic form.   It is essential that you complete this as quickly as possible in order for Human Resources to be able to activate you as an employee in our system.
  4. On your first day, you will be scheduled for a benefits orientation and a Rollins orientation, where you become familiar with Rollins College history, culture, and your role within our community.

 

New Faculty Information

  1. Please complete the new hire paperwork listed under “Faculty New Hire Packet” and email your completed paperwork to Denisa Metko, HR Assistant, at dmetko@rollins.edu or fax to 407-646-2188.  We would like you to visit the Human Resources Department as soon as possible so we can verify the documents necessary for the I-9 Form.  In addition, we will provide you with an orange R-Card request form so you can secure your parking permit and R-Card.
  2. All new faculty need to complete an electronic authorization for a criminal background check.  You will receive a separate email from True Screen, our background provider.  Do not delete this email.  Please follow the directions to log into True Screen and complete the electronic form.   It is essential that you complete this as quickly as possible in order for Human Resources to be able to activate you as an employee in our system.
  3. The Hurman Resources Department will be present at the new faculty orientation in August to assist with benefits and employment information and decisions.  New faculty will have a thirty (30) day period to elect benefits starting from the first day of classes.  Health insurance will begin on the first day of classes and other insurance start dates vary.
  4. Faculty are paid on the last working day of the month on a September through May schedule.  This means your first check will be the last business day in September.  Should you wish to be paid over twelve (12) months, from September to August, you must complete the Deferred Pay Election form and return it to the Human Resources Department. 
  5. There is an option to receive an advance of one (1) month's pay in August (you would pay this advance back in 1/9ths from Sept-May).  An advance must be requested in writing and sent to Jennifer Addleman, Benefits Administrator, at jaddleman@rollins.edu, or fax to 407-646-2188.
  6. If your email and/or phone number differ from what is listed on your application, please email Denisa Metko, HR Assistant, at dmetko@rollins.edu, so we may contact you later this summer if necessary.

 

New Temporary Staff Information

  1. Please complete the new hire paperwork listed under “Temporary Staff New Hire Packet” and bring the completed paperwork to your department supervisor.  The new hire paperwork will be forwarded to the Human Resources Department for payroll and Kronos processing.  Your supervisor will need to generate and submit a Personal Action Form (PAF) indicating your employment dates, budget and salary information prior to your start date.
  2. If your role requires you to swipe at a Kronos time clock or access restricted buildings on campus, then you will need to obtain a R-Card.  On your first day of employment, please visit the Human Resources Department and you will be provided with an orange R-Card request form. 
  3. Please bring the following items with you on your first day of employment:
    • Proper identification(s) as listed on the I-9 Form
    • A voided check for direct deposit
    • Your vehicle registration in order to obtain your parking decal
  4. New Student Staff Information

Work Study Student Employment

Federal College Work Study is available to students who qualify based on financial need.  You must complete the Free Application for Federal Student Aid (FAFSA) each year and must submit required paperwork to the Financial Aid Office.  To learn more about the Work Study application process, please click here.  

Non-Work Study Student Employment

  1. Please complete the new hire paperwork listed under “Student Staff New Hire Packet” and bring the completed paperwork to your department supervisor.  The new hire paperwork will be forwarded to the Human Resources Department for payroll and Kronos processing.  Your supervisor will need to generate and submit a Personal Action Form (PAF) indicating your employment dates, budget and salary information prior to your start date.

New Adjunct Faculty Information (A&S, Crummer & Holt Programs)
  1. Once you have officially accepted the adjunct faculty position at Rollins, you will need to complete an Adjunct Faculty Application.  Please note that you will need to create an account and fill out the application completely. Once you have done so, please inform Human Resources (hr@rollins.edu).
  2. All new adjuncts need to complete an electronic authorization for a criminal background check.  You will receive a separate email after completing the adjunct application from True Screen, our background provider.  Do not delete this email.  Please follow the directions to log into True Screen and complete the electronic form.   It is essential that you complete this as quickly as possible in order for Human Resources to be able to activate you as an employee in our system.
  3. Please complete the new hire paperwork listed under “Adjunct New Hire Packet” and email scanned and completed paperwork to Denisa Metko, HR Assistant, at dmetko@rollins.edu or fax to 407-646-2188. Each new adjunct faculty member will be provided with an orange R-Card request form on their first day of employment from the Human Resources office. 
  4. Please bring the following items with you on or before your first day of employment:
    • Proper identification(s) as listed on the I-9 Form
    • A voided check for direct deposit
    • Your vehicle registration in order to obtain your parking decal
  5. You will receive more information about your appointment from your respective department. Please do not hesitate to contact Human Resources if you have any questions or concerns.


New Volunteer Information  
  1. Please complete the paperwork listed under “Volunteer Packet” and email your completed paperwork to Denisa Metko, HR Assistant, at dmetko@rollins.edu or fax to 407-646-2188.
  2. Volunteers are persons doing Rollins College work/activities under the direction and control of a Rollins College authorized official and are not being paid.   Liability coverage is extended to volunteers acting at the direction of a Rollins College official and within the course and scope of their Rollins authorized activities. Volunteers of Rollins College are provided the same liability protection afforded employees. Volunteers acting within the course and scope of their Rollins authorized activities may be covered for their liability exposure as authorized volunteers of Rollins College.
  3. Rollins College volunteers are NOT covered by workers’ compensation insurance for injuries or illness resulting from their volunteer activities. Volunteers are strongly encouraged to obtain their own medical insurance before participating in this program.

 

New Foreign National Information

  1. Please complete the new hire paperwork listed under “Foreign National New Hire Packet” and bring the completed paperwork to the Human Resources Department at your earliest convenience to fill out NRA paperwork.
  2. Please bring the following items with you on your first day of employment:
    • Passport (including your visa)
    • I-20 Form or DS-2019 for Students or Form DS-2019 for Scholars
    • Social Security Card
    • Proper identification(s) as listed on the I-9 Form
    • Voided check for direct deposit
    • Your vehicle registration in order to obtain your parking decal
  3. All new staff need to complete an electronic authorization for a criminal background check (MVR if applicable).  You will receive a separate email from True Screen, our background provider.  Do not delete this email.  Please follow the directions to log into True Screen and complete the electronic form.   It is essential that you complete this as quickly as possible in order for Human Resources to be able to activate you as an employee in our system.

If you do not have a social security card, then you will need to apply for one using a letter They need to make sure that their department sends us over their PAF so that we can write the letter. We will provide the application and directions to the SS admin office as well. Once they apply, we need them to bring back their SS card receipt.)

 

Student Employment

  1. As an F-1 student, you may apply for on-campus employment provided that you are authorized by the USCIS to attend Rollins College, and you are maintaining full-time studies. You can begin working on campus immediately as there is no minimum time requirement in F-1 status for this type of work. You will need a Social Security Number in order to get paid, so be sure to start that process as soon as you are offered a job on-campus if you do not have a number already!
  2. On-campus employment means that you will be working on Rollins College premises (perhaps in the library or your academic department). It also includes working for a commercial firm that provides direct services to Rollins College students (such as dining services).
  3. Additionally, work that is performed at an off-campus location but that is educationally affiliated with Rollins can be considered on-campus employment. This work must be associated with the school’s curriculum and be an integral part of your educational program [8 CFR 214.2(f)(9)(i)].
  4. You can work up to twenty (20) hours per week while school is in session. You may be eligible for full-time employment during vacation periods and holidays.  Please visit the Office of International Student & Scholar Services for more detailed information.
