Lync

Lync is a universal communications tool that allows people to connect via IM, video call, virtual meeting, screen sharing, and more. Many of these features are available from the combination of multiple tools like Jabber, Skype, and WebEx, however Lync is able to accomplish similar tasks as one tool.  Lync is included in Office 2013.

How To FIND SOMEONE in Lync

Find someone in Lync by typing the person’s name in the “Search” box on the Lync main window. The results display automatically.

How To ADD A CONTACT in Lync

Your Contacts list simplifies your communications and lets you see presence and contact information for the people most important to you. Add to it anyone from the Rollins community (users of Microsoft Outlook external to Rollins also). To add a contact:

  1. Using Lync search, locate the person you want to add. (See “How to find someone”)
  2. Right-click the person’s listing in the search returns.
  3. Click Add to Contact List.
  4. Select a group to add your new contact into.

How To ORGANIZE CONTACTS in Lync

You can set up a group for each team you work with so that you can see at a glance who is available at any given time or communicate with the entire team at once. To create a new group:

  1. In the Lync main window, click the Add a Contact button (the person with the + sign, under the search bar)
  2. In the drop-down menu, click Create a New Group.
  3. In the space that opens up at the bottom of the window, type over the phrase “New Group” to give your group a name.

Lync Instant Message (IM)

How To IM in Lync

Use IM to get in touch with contacts. 

  1. In the Lync main window, either:
    a) Pause on a contact’s picture and click the IM icon; or
    b) Double click” the name of the contact you want to send an IM to. Option: Send an IM to more than one contact at a time by holding down the “Ctrl” key, click each contact that you want to invite, right click the selection and then click Send an IM.
  2. In the chat window that opens, make sure the IM icon is highlighted.
  3. Type your message in the message input area at the bottom of the IM window, and then hit Enter.

How To ORGANIZE IMs in Lync

If you have multiple conversations going on at once, Lync displays them all in one place.  In the open chat window, select any IM/Contact “Conversation” tab to open that conversation.

How To SET UP VIDEO SHARING in Lync

You need a camera for contacts to see your video. Your contact needs a camera for you to see their video. To set up your camera:

  1. Click the dropdown arrow next to the “gear” icon above the search bar. Then Tools and Video Device Settings.
  2. If your don’t see your video preview, make sure a camera is selected in the “Select the camera you want to use for video calls” drop down.
  3. To adjust settings, click Camera Settings.

How To START A VIDEO CALL in Lync

  1. In the Lync main window, either:
    a) Pause on a contact’s picture and click the camera icon, or
    b) Double click” the name of the contact you want to video call.
    *Note: An alert pops up on your contact's screen to accept your call.
  1. When you’re done, pause on the camera button and select an option:
    a) Stop My Video: Ends your video, but you can still see others’ videos; or
    b) End Video: Ends all the videos for you, but you’ll still have audio.

How To SCHEDULE A MEETING in Lync

Scheduling Lync Meetings in Outlook is similar to how you schedule regular meetings.  The meeting link and call-in numbers are automatically added to the meeting request.

  1. Open Outlook and go to your Calendar.
  2. On the Outlook ribbon, click New Lync Meeting.
  3. Set up meeting details:
    a) In the “To“ box, type the email addresses of your invitees (external addresses permitted;
    b) Fill in the “Subject”;
    c) Select the “Start” and “End” time. Attention: Use “Scheduling Assistant” to check invitee availability
  4. Type any agenda details in the meeting notes area.
  5. Press “Send.”
